Senior Event planner
Reporting to: Managing Partner & Lead Event Planner

The Senior Event Planner at Bon Vivant Catering & Events represents the company and our reputation in providing world class events that marry the art of fine food and wine, while being focussed on providing the old-school hospitality our clients seek at the best restaurants in the world. Duties and responsibilities of the position:
You will combine your artistic and business skills to help envision client events in a fresh and innovative way.
Respond to incoming inquiries regarding calendar availability in a professional and timely manner (within one business day) and provide a brief on our services offered.
Conduct personalized consultations with couples to deeply understand their wedding aspirations, preferences, and budget.
Interface with the client and their team to solicit all information pertaining to their event in order to provide a winning proposal. Read between the lines and anticipate what the client may not know they need.
Prepare the entire quote, liaising with the culinary team if needed on the menu aspects, and present it to the client for approval.
Coordinate with outside vendors as needed on an event-by-event basis (florals, décor, audio visual, entertainment, etc.) and ensure applicable fees or markups are invoiced.
Submit rentals to vendors and review for accuracy if Coordinator is not able to.
Ensure payment policies and information deadlines are met by the client.
Collect payment information to ensure BVC is dealing with creditable clientele.
Follow up with clients post event for feedback and satisfaction indexing.
Identify and solicit new clients.
Identify and solicit new venue opportunities.
Solicit existing client base to generate additional bookings.
Mentor junior planning staff and provide institutional knowledge to the decision-making process.
Represent the Owners at networking events with industry professionals where we can grow partnerships.
Site inspections.
Completion of other tasks essential to the successful delivery of events according to scope and/or at owner’s request.
Directing the maintenance of our catering software: TPP (programming new items, archiving items, etc.).
Prepare weekly, monthly, quarterly and annual reports as determined.
Attend operational meetings.
Be onsite for all weddings where you are the primary planner.
Onsite event execution for galas, important clients or intricate events may be required on evenings or weekends.
Requirements:
Minimum 3 years experience in Catering and Event Management, planning corporate events and weddings.
Well versed in Microsoft Word, Excel, and Outlook
Practical use knowledge of Canva or Adobe design products.
Previous experience with catering software or CRM software is a bonus.
Experience working with Indigenous communities and entities is a bonus.
Post Secondary hospitality or hotel education or suitable combination of education and experience
SIR, Smart Serve or IGB Certificate
Excellent written and verbal skills in English with FOH and BOH staff, and ability to work well within a team.
Valid BC Drivers License
A passion for food and entertaining.
Details:
Base salary of $65,000/yr
Commission payable on net catering food and beverage sales
Hybrid role is negotiable
