Event Coordinator, Corporate Delivery Orders
Reporting to: Managing Partner & Lead Event Planner

An Event Coordinator at Bon Vivant Catering & Events represents the company and our reputation in providing world class events that marry the art of fine food and wine, while being focussed on providing the old-school hospitality our clients seek at the best restaurants in the world. What you will be doing:
Supporting all Planners in coordinating the internal details of confirmed events, i.e. BVC equipment, decor, rental contract particulars, etc.
Produce event worksheets and production reports for the culinary team using catering software.
Printing event worksheets and sign out sheets for individual events.
Preparing bar kits, service aprons & name tags, and other items for events.
Preparing or coordinating event signage (food, beverage, coat check, directional).
Prior to each event, communicating event details and nuances to service staff via email.
Completion of other tasks essential to the successful delivery of events according to scope and/or at owner’s request.
Staffing events.
o Balance skill levels and personalities for event staffing
o Manage employee vacation tracker
o Keep Leadership Team informed of client feedback on service
Maintaining TPP (programming new items, archiving items, etc.) as requested.
Attend operational meetings.
Corporate orders:
o Responding to incoming inquiries and inputting orders
o Preparing the signage and serving pieces if required
Occasionally assist with deliveries or pick up of equipment the following day.
Provisions:
o Preparing delivery labels and heating instructions
o Coordinate non-food items for orders
Assist with deliveries on occasion as needed.
Requirements:
Legally allowed to work in Canada
3+ years experience in a hospitality position like serving, bartending, floor manager, banquet captain, concierge services, etc. that demonstrates a strong knowledge of food and beverage.
Valid Serving It Right certification.
Microsoft Office Software computer literacy required.
Ability to work efficiently in a high-pressure environment while maintaining attention to detail.
Excellent communication skills with FOH/BOH staff, clients, and vendors, and the ability to work well within a team.
Valid BC Drivers License
A passion for food and entertaining.
Serious bonus points if:
You have or are working on a university degree or college diploma in Event Management, Communications or another related Hospitality program.
You have experience with catering software or CRM software.
You have experience hosting or planning events.
You have the ability to work outside of regular working hours as required, including extended hours, holidays and weekends during busy periods and peak seasons
Details:
Full time hours available
Hourly rate of $25/hr plus commission on F&B sales
Monthly Cell phone plan allowance of $50
Parking for all work-related parking expenses
Group Health Plan – must maintain 20 hours per week minimum

Working out of the office is required.
